You can bring an Asana project to thisflow with the CSV file Asana exports. thisflow shows a preview first, nothing changes until you confirm, and the project in Asana stays as it is.
Export the project from Asana
In Asana, open the project, open the menu next to the project name and choose Export/Print → CSV. Asana saves one CSV file for the project.
Do this for every project you want to bring along: thisflow imports one file at a time. The import page in thisflow has the same hint under How to export from your current tool.
Open Import in thisflow
Go to Settings → Data → Import, or press ⌘K (Ctrl+K on Windows and Linux) and choose Import from Todoist or CSV. The page is called Import tasks.
Press Choose a file, or drop the CSV on the page. thisflow recognises the file by its columns, and the preview shows Asana export under the file name.
Check the preview
Before anything is added, the preview shows what the file holds:
- New projects and New sections that will be created.
- Tasks, with how many of them are subtasks.
- Recurring and Comments. Both stay at 0 for an Asana file, because thisflow does not read repeats or comments from it.
- A line with how many tasks were already completed in Asana and are left out.
If some rows could not be read fully, a note such as 2 rows need a look lists each row and why. If dates are listed there, fix them in the file and choose it again, so every task gets the right date. A row with no name is skipped.
If the numbers are not what you expected, press Choose another file. Otherwise press the import button, which shows the number of tasks, for example Import 42 tasks.
Know what comes along
Here is how an Asana project maps to thisflow:
- Project: a new project with the name from the file's Projects column, or the file's name if that column is empty. If you already have a project with the same name, the tasks go into it instead. A task that sits in several Asana projects goes into the first one listed.
- Sections: become sections. A section with the same name in that project is reused.
- Tasks and notes: each task keeps its name as the title, and its notes become the note.
- Subtasks: become subtasks, in their parent's section. thisflow keeps one level, so a subtask of a subtask goes under the task at the top, and the preview says so.
- Assignee: the task is assigned to the person with the same name in thisflow, if there is one, and to you otherwise.
- Due date: kept.
- Tags: become tags, written in lower case.
- Priority: read when the project has a custom field called Priority. High becomes P1, Medium P2 and Low P3.
Some things stay behind:
- Completed tasks. The preview counts them, and they stay in Asana.
- Start dates, dependencies, other custom fields, comments and attachments.
- Repeat settings. A repeating task comes in as a one-off task, so set the repeat again where you need it.
Import the tasks
Press Import 42 tasks (with your number). thisflow adds everything in one go, opens the project, and a message confirms how many tasks were imported. If something looks wrong, press Undo in that message to take the whole import back.
Repeat the steps for your next project.
Check the result
Open the project and look it over:
- Switch to Board to see the sections as columns. The same tasks show in List and Calendar; see Kanban boards.
- Open a few tasks in the side panel and check notes, subtasks, tags and dates.
- Every new project also gets a Done section at the end. When you complete a task, it moves there.
- New projects are created in your personal workspace. To work on one together, share it: see Share a project and pick roles.
Why are some subtasks now ordinary tasks?
Their parent task was already completed in Asana, so it is not in the import. thisflow then keeps the open subtask as a task of its own instead of dropping it.
Do my teammates' assignments come along?
Yes, when thisflow knows the person: an assignee is matched by name among the people you already share a workspace or project with. Invite your team before you import if you want their tasks assigned to them. Anything without a match is assigned to you.
Can I import a whole Asana workspace at once?
No, one project per file. Export each project and import the files one after another; each becomes its own project, or joins the project with the same name if you have one.
What happens if I import the same file twice?
You get the tasks twice. The project and its sections are reused by name, but every task is added again. Press Undo right after an import you did not mean to make. For a side-by-side look at the two tools, see thisflow vs Asana.
