Quick add turns one line into a task. This guide lists everything it reads, so you can type a task the way you would say it and trust what comes out. The examples assume today is Monday 19 October 2026.

Write the task first

Type the task as a sentence and add the details anywhere in the line:

  • Call Anna tomorrow 15:00 for 30m #Clients p2 @calls +erik
  • Ring Anna imorgon kl 15 i 30 min #Kunder p2 @samtal +erik

Both give the same kind of task: "Call Anna" (or "Ring Anna"), due tomorrow at 15:00, 30 minutes long, in the project Clients, priority 2, tagged calls, assigned to Erik.

A few rules hold for everything below:

  • English and Swedish are always understood, whatever language the app is in. You can mix them in one line.
  • Words are matched whole and regardless of capitals.
  • Everything recognised is removed from the title and shown as a chip under the field. What is left is the title.
  • The same reading is used for the subject of an email to thisflow, the add field on the board and Text to tasks.

Add a date

Plain words work in both languages:

  • today, tomorrow (also tmrw, tmr), day after tomorrow; Swedish idag, imorgon, i morgon, imorn, övermorgon.
  • A weekday: Pay rent friday, Betala hyran på fredag gives Friday 23 October. A weekday name alone is never today: monday is 26 October, while this monday (denna måndag) is today.
  • Weeks and weekends: next week (nästa vecka) is Monday 26 October; friday next week (fredag nästa vecka) is 30 October; this weekend (i helgen) is Saturday 24 October; next weekend (nästa helg) is 31 October.
  • Ends of periods: end of week or eow (i slutet av veckan), end of month or eom (i slutet av månaden), end of year (i slutet av året).
  • Counting from today: in 3 days, in a week, in two weeks, in 3 months (om 3 dagar, om en vecka, om två veckor, om 3 månader).
  • Exact dates: 3 nov, nov 3, 3rd of november, 3/11 (day first), 2027-01-15, 12 march 2027; Swedish 3 nov, den 3 november, 12 mars 2027.
  • A day of the month: on the 25th, by the 25th (den 25:e) is the next 25th.

Some details worth knowing:

  • A day and month without a year is the next time it comes round, today included.
  • Impossible dates such as 31/04 stay in the title.
  • Words that tie a date to the task go with it: on, by, due, until, before, senast, på, den, innan, före. Report due friday is "Report", due Friday.
  • Short weekday names that are also words only count after one of those words, after next/this/nästa/denna, or at the end of the line. Book flight Mon has a date; Buy sun cream does not.
  • Only one due date is read. A second date phrase stays in the title.

Add a time and a duration

A time needs a colon, am/pm, or a word in front of it:

  • 15:00, at 15, 3pm, 3:30pm, 10am; Swedish kl 15, klockan 15, kl 15.30.
  • at 3 means 15:00 (1 to 6 without am/pm are afternoon). Swedish kl 3 is 03:00, since Swedish times are 24-hour.
  • noon, at lunch (vid lunch) is 12:00; this morning (i förmiddag) 09:00; this afternoon (i eftermiddag) 15:00; tonight (ikväll) 19:00.
  • With a day: tomorrow morning, tonight at 8 (ikväll kl 8) is 20:00, and i morgon bitti is 07:00 tomorrow.

A time without a date is for today: Standup 9:30 is today at 09:30.

A range gives a time and a duration at once: Workshop 14:00-15:30, Plan sprint 2-3pm tomorrow, 9am to 5pm, Swedish kl 14-15 or kl 14.30-16.

For a duration on its own, put for (Swedish i) in front: for 30m, for 45 minutes, for 1.5 hours, for 1h30, for an hour, for half an hour; Swedish i 30 min, i 1,5 timmar, i en timme, i en halvtimme. A duration is between 5 minutes and 12 hours, and it sets how long the task is in the week calendar.

What stays text: Read chapter 3, Ship version 2.10 and Call Anna tomorrow 15 keep their numbers (the last one is due tomorrow, with "15" in the title). Read pages 14-15 is not a time range, and Fokus 30 min is not a duration, because i is missing.

Make it repeat

A repeat starts with every, varje, var or alla. The due date becomes the first occurrence, today included.

  • Days: every day, every other day, every 3 days; varje dag, varannan dag, var 3:e dag.
  • Workdays: every weekday, every weekend; varje vardag, varje helg. Standup every weekday 9:30 repeats Monday to Friday at 09:30.
  • Weeks: every week, every 2 weeks on friday, every other tuesday; varje vecka, varannan vecka på fredag, varannan tisdag.
  • Several days: every mon wed fri, every tuesday and thursday; varje mån, ons och fre.
  • Months: every month, every quarter, every month on the 25th, every month on the last day; varje månad, varje kvartal, den 25:e varje månad, varje månad den sista.
  • A weekday in the month: every first monday, every last friday, every 2nd tuesday of the month, every last weekday; första måndagen i månaden, sista fredagen varje månad, sista vardagen i månaden.
  • Years: every year, every year on 24 dec; varje år, varje år den 24 dec.

A date after the rule says where the series starts: every week from friday.

To count the next date from when you complete the task, rather than from the schedule, write every! or add after done (Swedish efter klar): Change water filter every! 6 weeks, Change water filter every 6 weeks after done, Byt vattenfilter var 6:e vecka efter klar.

Only phrases with every/varje/var/alla count. Write weekly report, Daily standup notes and Stretch daily are titles. Note that every second tuesday is every other Tuesday; with of the month it is the second Tuesday of each month.

Set a start date or park it in Someday

A date after starts, start, starting or from (Swedish startar, börjar, från, från och med, fr.o.m.) is the start date. The task stays out of Today until then.

  • Draft report starts friday due monday starts on Friday 23 October and is due Monday 26 October.
  • Skriv rapporten från 3 nov till 10 nov starts on 3 November and is due 10 November.

Without a date after it, the word stays: Reply to the email from Anna keeps its title.

To park a task, write someday, some day or sometime (Swedish någon gång, nån gång). Learn Italian someday goes to Someday.

Pick project, priority, tags and people

  • #name puts the task in a project. Case, spaces, _ and - are ignored, an exact name wins, and otherwise the shortest name it starts. Names with spaces can be written out: #website launch, #Gården på Öland. A #name that matches no project stays in the title and shows a warning chip; #123 (an issue number) stays quietly.
  • p1 to p4 sets the priority. Only the first one counts.
  • @tag adds tags, as many as you like. They are lower-cased, and duplicates are dropped.
  • +name assigns someone by the start of their first name: +er is Erik. A name nobody matches stays in the title.

Punctuation right after these is not part of them: Call @urgent. gets the tag urgent.

Keep words in the title

When quick add reads something you meant as text, there are two ways to keep it:

  • Put it in double quotes. Quoted text is never read: Watch "Tomorrow never dies" tomorrow is due tomorrow and keeps the film's name.
  • Rely on the rules above: links and email addresses are left alone, and "today" or "tomorrow" after "the" is a name, so Read the Today show transcript keeps its title.

Quick add also tidies what it removes. Tomorrow, call Anna becomes "Call Anna", with no stray comma and a capital letter where the line now starts. If nothing but recognised words is left, the date and time words go back into the title, so a task is never empty: typing just tomorrow makes a task called "tomorrow".
