Some tasks arrive by email. With email to thisflow you send or forward a message to your own private address, and it lands in your Inbox as a task, with the subject as the title, the text as its note and the files attached.
Get your private address
Open Settings and go to Email to thisflow; the link Email at the top of Settings takes you there. Press Get my address.
Your address appears with a Copy button, and Write to it opens a new email to it in your mail app. Add the address to your contacts so it is quick to pick when you forward something.
Keep the address to yourself: anyone who has it can add tasks to your Inbox.
Send or forward an email
Write a new email to the address, or forward one you have received, from Gmail, Outlook or any other mail app. A moment later it is a task in your Inbox.
- "Fwd:" and "Re:" are dropped from the subject.
- Each email becomes one task, even if it is delivered more than once.
- Spam and emails with viruses are dropped.
Settings shows when the last email arrived, so you can check that the address works.
Write the subject like quick add
The subject is read the same way as quick add, so you can give the task its details as you send it:
Call the supplier tomorrow 15:00 p2gets a date, a time and priority 2.Send the contract friday #Clients @legalgoes to the project Clients with the taglegal.Book the venue every year on 24 decbecomes a repeating task.
Without a #project, the task goes to your Inbox. With no subject at all, the first line of the text becomes the title. Everything quick add understands is in Quick add: the full grammar.
Know what the note and attachments hold
The text of the email becomes the task's note, together with who sent it. thisflow keeps the note clean:
- In a reply, the quoted earlier thread is left out.
- A standard signature and lines such as "Sent from my iPhone" are left out.
- A forwarded email keeps its whole content and shows who originally sent it.
Files in the email are added to the task as attachments: up to 10 files, each up to 25 MB, in an email of up to 40 MB. Files that are too large, or past the tenth, are named in the note instead. Small images that only belong to the email's design, such as a logo in a signature, are not attached. Attachments count towards your workspace's storage.
Replace or turn off the address
You can change your mind at any time, in the same place in Settings.
- New address gives you a fresh address. You are asked to confirm first, because mail to the old address no longer arrives.
- Turn off stops the address altogether. Get my address gives you a new one later.
Use New address if the address has reached someone it should not have. To bring tasks from another app in one go instead, see Move from Todoist.
