See your other calendars next to your tasks#

  • Other calendars: Settings → Calendar → Other calendars takes the secret iCal link of a Google, Outlook or iCloud calendar. Its events show as quiet grey blocks in the week view, the phone agenda and the day plan, so you can plan tasks around your meetings.
  • Read-only and private: events can't be opened or moved, the links are stored encrypted and never shown again, and the last copy works offline.

A smoother first day#

  • Capture works at once: quick add and Text to tasks work even before the first sync has finished.
  • "Added" says where and when, for example "Added to Inbox · Sun 25 Oct", with an Open button.
  • The sign-in email comes in the language you chose on the sign-in page.
  • "Not connected" or "Offline": the sidebar tells the two apart, and changes are kept either way.

Your account#

  • Change email: Settings → Account sends a confirmation link to the new address.
  • Delete account: behind a first click, with your email typed to confirm. A team you own alone with others in it must be handed over first.

Settings and layout#

  • Settings is easier to find your way in: links to each section under the title, which stay on screen on wide screens, and loading and error states for every group.
  • Slack linking asks first before tying a Slack user to your account.
  • The Logbook shows when each task was completed.
  • Project headers keep their tools together on mid-size screens.

Trust in sync, and Skip this time#

  • Honest sync health: when changes can't reach the server for a while, the sidebar says how many are waiting, with Retry now.
  • Skip this time: a repeating task can skip one occurrence from its ⋯ menu or ⌘K, without being marked as done.

Files and sharing#

  • Files play everywhere: video and audio attachments stream and play on iPhone and in Safari. Each workspace has a storage quota.
  • Invites that bounced: the share dialog marks an invite whose email couldn't be delivered, with Copy invite link instead.

Under the hood#

  • Faster due reminders, task creation and API lists on large accounts. Read notifications are cleared after 90 days, unread after 180.
  • Slack commands answer within Slack's time limit, and inbound email is retried instead of lost.
  • A deleted person shows as "Former member".

Files on tasks, and thisflow in Slack#

  • Attachments: add files to a task from its panel: drop them, paste an image, or press Add file (also in ⌘K). Images show as thumbnails; files open or download with one click. Up to 25 MB each.
  • Email keeps its files: attachments in an email to thisflow land on the new task.
  • Slack: type /thisflow and a task in any Slack channel and it lands in your Inbox, read like quick add. Save any Slack message as a task from its ⋯ menu, with a link back. Get a Slack message when someone mentions you or assigns you a task. Settings → Slack.

Email to thisflow#

  • Email a task: Settings → Email → Email to thisflow gives you a private address. Send or forward an email there and it becomes a task in your Inbox.
  • Understands the subject: it is read like quick add, so "Call the supplier tomorrow 15:00 p2" gets its date, time and priority; "Fwd:" and "Re:" are dropped. The email's text becomes the note, with who sent it.
  • Clean notes: the quoted thread of a reply, a standard signature and "Sent from my iPhone" are left out; a forwarded email keeps its content and shows who originally sent it.
  • Safe: spam and viruses are dropped, each email arrives once, and the address can be replaced or turned off at any time.

Your tasks in your calendar#

  • Calendar subscription: Settings → Calendar gives you a private link that shows your tasks with a due date in Google Calendar, Apple Calendar or Outlook, added in one click. Your calendar app picks up changes by itself.
  • Right times everywhere: all-day tasks are all-day events, and a task at 15:00 shows at 15:00 for its planned length, wherever you are. Repeating tasks show their coming dates too.
  • Yours only: the tasks assigned to you, and those you created that nobody is assigned to. Make a new link or turn it off at any time; the link is stored encrypted.

Email your way#

  • In your language: mention and morning-summary emails, and every push notification, come in Swedish when the app is in Swedish.
  • Choose your emails: Settings → Notifications can turn off mention emails or the morning summary by email; push and the Notifications list stay.
  • One-click unsubscribe: every notification email has an unsubscribe link, and mail apps like Gmail show their own Unsubscribe button. Sign-in links and invitations are always sent.

Real email#

  • Emails now arrive: sign-in links, invitations, mentions and the due-today digest are sent through Amazon SES from notify.thisflow.com, with proper HTML versions. The sign-in email follows your browser's language.
  • Replies reach a person: answering any thisflow email goes to help@thisflow.com.
  • Good sending habits: addresses that bounce for good or mark mail as spam are never mailed again, which keeps thisflow's mail out of spam folders.

AI usage you can follow, and steadier keys#

  • AI usage for the operator: Settings → Admin → AI usage shows which features spend AI tokens (Suggest steps, Text to tasks, Ask thisflow), by day, model and person, with an estimated cost when prices are set. Only for the people who run thisflow. Speaking a task costs no tokens.
  • Recurring tasks moved into Done roll on to their next date instead of being completed for good.
  • The board and the keyboard: j/k walk the cards column by column, and ⌘↵ completes the focused card.

Smoother every day#

  • Keyboard triage keeps its place: completing or deleting a task moves you to the next one, instead of back to the top.
  • Completing works the same everywhere, with the same Undo, from the list, the task panel, subtasks and the board.
  • Start a project from another: in New project, copy any project (archived ones too) with its sections and open tasks, and its dates moved to start today.
  • More reliable: a failed save on your device is rolled back whole; Undo after moving a task into Done also reopens it; copies of finished tasks stay open.
  • Easier to use with a finger and a screen reader: larger tap areas in the task panel, and the open task, the sidebar and quick add's suggestions are announced.

Ask thisflow#

  • Ask about your tasks: type a question in ⌘K, such as "What should I focus on today?", "What is Anna working on?" or "Vad blev klart den senaste veckan?". The answer links the tasks it relies on, and it only reads what you can see.
  • Summarize status in a project's ⋯ menu: what got done, what is in progress, what is overdue or at risk, and what comes next. Copy it straight into a status update.
  • Measured quality: every AI feature now has fixed test cases that run against the model and are checked automatically (language, dates, the right tasks, no invented people or projects). All cases pass.

Bring your tasks from anywhere#

  • New importers: Asana, Trello (board JSON), TickTick (backup), ClickUp and Linear, recognised automatically when you pick the file. Sections, subtasks, checklists, labels, assignees, due dates and comments come along where the tool has them.
  • Jira, Notion and monday.com through the CSV import, which now knows their column names.
  • Only what is still open: tasks already done in the other tool are left out, and the preview says how many.
  • Fixed: an import made right after the page loaded could show and then vanish. It now waits until your data has loaded.

AI you can rely on#

  • Fixed a crash: closing AI suggestions (Add or Dismiss) could show the error screen in current Chrome.
  • Suggest steps right away, also on a task you created a second ago, and from the task's ⋯ menu and ⌘K.
  • Clearer and fairer: failures are explained in your language, a failed request does not count against the day's limit, a busy service is retried once, and you see how many suggestions are left when few remain.

Capturing on the phone#

  • Speaking a task tells you what went wrong instead of doing nothing: microphone blocked, nothing heard, or (on iPhone in the installed app) to use the keyboard's microphone instead. Words no longer repeat on Android.
  • Add keeps the keyboard up for the next task, and confirmations show at the top, where the sheet does not cover them.

Take your projects with you as Markdown#

  • Markdown export: every project from Settings → Data, or one project from its ⋯ menu, as checklists that open anywhere (Obsidian, GitHub, a text editor). Sections become headings, subtasks are indented and notes sit under their task.
  • For everyone who can see the project, viewers and guests too, and it works offline.

Calmer under the hood#

  • Due reminders skip what was already sent before doing any work, so the minute-by-minute job stays light as the number of tasks grows.
  • Contrast is guarded: a test checks that every colour pair meets WCAG AA in light and dark.

Easier on phones, steadier in dialogs#

  • Made for fingers: on touch screens every small control takes a 44 px tap area, and fields are 44 px tall, without changing how anything looks.
  • Dialogs keep their keys: typing in a dialog no longer changes the task behind it.
  • The panel keeps things apart: a half-typed subtask or AI suggestions no longer carry over to the next task you open.
  • Today's plan: rows keep focus as you work through them, and Done can be undone like everywhere else.
  • Clearer failures: push notifications, sessions, API tokens, joining and restoring now say when something did not work. Closing a dialog returns focus to where you were.

Security and correctness from the overnight audit#

  • Tags:
    • A tag's id can no longer be pointed at another tag.
    • Guests can no longer bring a deleted tag back.
  • Leaving a workspace removes its projects too:
    • Someone removed from a workspace loses the project roles they had there.
    • Their pending invites are revoked.
  • Invites: an invite works only while its sender may still invite.
  • Owners: admins cannot change an owner's project role.
  • Limits:
    • Request bodies are capped at 1 MB, 16 MB for sync uploads and 128 KB for logos.
    • Invite and join tokens no longer appear in request logs.
  • Members CSV: formula-like names are neutralised.
  • Errors:
    • Bad ids and limits answer 4xx, not 500.
    • The API and MCP explain validation errors.
    • MCP follows the JSON-RPC rules for batches and notifications.
  • Dates and limits:
    • Recurring tasks roll forward on your own local day.
    • Move overdue to today in the API moves only your own tasks.
    • The AI fair-use limit counts whole UTC days.

AI that suggests, you decide#

  • Suggest steps: in a task's panel, AI proposes 3–7 concrete subtasks in the task's own language. Untick what you do not want, add the rest, and Undo takes them all back.
  • Text to tasks: paste an email, meeting notes or a list (from ⌘K, or straight into quick add). AI finds the tasks, with dates, priority, project and people where the text says so, and shows each one as quick add reads it before anything is added. One per line does the same without AI.
  • Speak a task: a microphone in quick add (where the browser supports it) turns speech into text, in English or Swedish.
  • Included in the plan: no credits, with a fair-use limit of 100 suggestions per person and day.

Instant in long lists too#

  • Under 50 ms again for every interaction in a 1000-task project: completing, opening and quick add take about 16–48 ms, where they took up to 100 ms. A long project also opens faster, about 200 ms instead of 230.
  • How: only rows on or near the screen take part in drag and drop. Dragging is unchanged, also far down a long list.

Today's plan and wrap-up#

  • Plan your day: in the morning, Today offers to plan. It suggests what could be today: overdue tasks, the Inbox, what is coming in the next days, and important tasks without a date. One click puts a task on today, tomorrow or Someday, and the dialog shows how much time today holds.
  • Wrap up the day: from 16:00 it shows what got done, and moves what is left to tomorrow, next week or Someday, or marks it done.
  • Optional: put it away with Not today. Both are also in ⌘K ("Plan today", "Wrap up today"). Nothing moves on its own.

API and MCP server#

  • Connect Claude and other AI assistants: thisflow is an MCP server. Assistants can list your tasks, create them in natural language ("Call Anna tomorrow 15:00 p2 #Sales"), and change, complete and comment on them.
  • REST API v1 for your own scripts and integrations, with the same abilities.
  • Personal API tokens under Settings → API. A token is shown once, acts with your own access, shows when it was last used, and can be revoked at once.

Faster and tidier#

  • Faster updates: after a new release the app downloads about 51 KB of its own code instead of 312 KB. Libraries keep their cached files, and Settings, Import, Trash and invites load when opened.
  • Long lists: completing a task no longer re-renders every row. Rows are measured for dragging only while you drag. In a 1000-task project, completing and quick add take about 50–65 ms (quick add was 80–100).
  • Moves: a task moved to another project drops assignees who cannot see that project.
  • Times: a due time is cleared when its date is removed, also when another client sends the change.

Workspace settings#

  • Workspace settings for every workspace (Settings → Workspaces, then a workspace), in four tabs:
    • General: name, logo, who can invite, who can create projects, colleagues joining through your company email domain, leaving.
    • Members:
      • roles with last active
      • invite many at once
      • removing someone asks who takes over their open tasks
      • CSV export
    • Billing: plan, invoice emails, company, address and VAT number.
    • Security & data:
      • workspace export
      • activity log
      • transfer ownership
      • delete with 30 days to restore
  • Admin role: runs the workspace's settings, members and billing; only owners delete it or hand it over.
  • Settings: signed-in devices with Sign out everywhere else, workspaces you can join, deleted workspaces to restore.
  • The palette opens any workspace's settings, members or billing. Logos show in the sidebar.

Plans and prices#

  • Settings → Plan: the Free, Pro and Team plans with their prices, which plan each of your workspaces is on, and the price promise. During the beta everything stays free.
  • Plan limits are ready but off: Free allows 10 projects, 3 members and 5 guests per workspace; Team gives 5 guests per person. They are enforced (project creation, invites, joining by link) only once billing is switched on, and the app explains a limit instead of quietly undoing the change.

Settled decisions#

  • Morning summary: pick its hour (05–12) under Settings → Notifications.
  • Trash: tasks are deleted for good 30 days after they went to the Trash, every night.
  • Guests use a workspace's tags but cannot add new ones; the app says so instead of quietly dropping them.
  • Narrow windows: task lists switch to fewer columns before anything runs past the edge.
  • Honest sync: when someone's newer change wins over yours, or a change cannot be saved on this device, you are told.
  • Faster reminders job: one access check per person and project per run.
  • Shortcuts are documented in DESIGN.md.

Planning like the best planners#

  • Upcoming shows everything ahead: the next seven days one by one, then the rest of the month, then a group per month. Nothing dated disappears past next week.
  • Recurring tasks keep a history: completing one logs the occurrence as a done task in the Logbook, while the task itself moves on to its next date. Undo takes both back.
  • Personal projects start as a plain list (Tasks, with Done folded away). Team projects keep To do, In progress and Done for the board.
  • Start date: with none set the panel says Any time instead of Now.

Palette and invites without dead ends#

  • Palette: reaches Settings, Import, saved filters and New filter. Go to Assigned to me shows only when you are in a team, as in the sidebar.
  • Invite members without a team workspace lets you create one, then opens its invite dialog. Creating a workspace from the user menu also goes straight on to inviting, as its text promises.

Paper and ink#

  • New look: warm paper surfaces laid flat edge to edge, no grey frame or rounded shell, lists as rows between hairlines instead of cards.
  • Titles in a serif (Newsreader) for views, pages and dialogs; Geist for everything else.
  • Ink, not blue: the primary button, focus and selection are ink, with no gradient or glow. Green means done and now, red means late.
  • One type scale (11–28, seven steps) and one radius scale (4, 6, 10, full) across the app.
  • One segmented control and one page template for Settings, Trash and Import.
  • Compact board cards: the signals on one row, so a column shows about twice as many cards.
  • Earthier project colours for new projects; existing projects keep theirs.
  • New app icon and favicon: the waves in paper on ink.

Product audit: capture, honesty, calmer lists#

  • Quick add follows the view: a task added in Today is due today, in Upcoming tomorrow, in a tag view it gets the tag, in Someday it is parked, in a filter it gets what the filter asks for. New task goes to the quick add instead of making an empty row.
  • No phantom tasks: + Add and a click in the calendar open a draft; closing it without a change removes it.
  • Unknown #project: quick add warns instead of quietly putting the task in the Inbox.
  • Honest email: without an email provider, sign-in offers only Google and Apple, and invites show copyable links.
  • Sign-in page: says what thisflow is, with the social buttons first.
  • Get started: shows only the steps left; Share a project opens the share dialog, and sharing or importing completes it.
  • Calmer lists: one column header per view, no empty columns, no Project column inside a project, no repeated date under a day heading, no year on dates this year.
  • No auto-assign in personal projects: tasks you create for yourself are no longer assigned to you; in a team they still are. Assigned to me shows only when you are in a team.
  • Calendar: the all-day row has a ceiling, the first hour label is no longer cut, overlapping blocks lie on top of each other so their titles stay readable, and Someday tasks are not in the No date tray.
  • Dark mode depth: dialogs, menus and the palette are lighter than the page, so they lift.
  • Copy: the help texts show the real syntax (@tag).

Time blocking, comment editing#

  • Time blocking: the week calendar has an hour grid under the all-day row. Tasks with a time are blocks as long as their duration (30 min when unset); overlapping blocks sit side by side, and a red line marks now.
    • Drag a block to move it, in 15-minute steps.
    • Drag its bottom edge to change its length.
    • Drop it in the all-day row to take its time away.
    • Click a free time to add a task there.
    • Nothing moves on its own.
  • Duration: a new Duration row in the panel, and quick add understands "for 30m", "for 1.5 hours", "i 45 min" and "i 2 timmar".
  • Comments: you can edit your own (they are marked edited) and delete them; project owners can delete any.
  • Fix: a task created before the data had loaded was refused by the server (empty workspace). The server now takes the workspace from the project.

Duplicate, history, safer undo, keyboard#

  • Duplicate: Duplicate a task (⌘D, with its open subtasks, right after the original) or a whole project, with its sections and open tasks. This is the first step towards templates.
  • History: the task panel's Activity has Comments | History, showing who changed what and when, from the server's activity log.
  • Undo: after an edit it writes back only the fields it changed, so a teammate's edit to another field in the meantime is kept.
  • Keyboard: radio groups follow the arrow keys and are one Tab stop.

Phone experience#

  • Tab bar: a floating glass capsule at the bottom in iOS 26/27 style, with Today, Inbox, Upcoming and Browse, and New task as a round button beside it.
  • Capture sheet: opens on top of the keyboard with the quick add of the current view, and stays open for the next task.
  • Task panel: a sheet from the bottom, with a grabber, a header that stays put and a fixed comment field.
  • Fields: 16 px, so iOS does not zoom in. Each field sets the right keyboard key (Done, Send, Search).
  • Touch: targets are 44 px under a finger.
  • Board: fixed widening the page; columns are now phone-wide and snap.

Notifications and reminders#

  • Assignments: being assigned a task by someone else gives a bell entry and a push.
  • Reminder lead: tasks with a time remind at the time, or 5 min to 1 day before.
  • Snooze: due reminders can be snoozed for 10 min or 1 h from the phone notification.

Recurrence#

  • From completion: "every! 3 days", "every 6 weeks after done", "varannan vecka efter klar". Stored as X-FROM=COMPLETION.
  • Last or first weekday of the month: "sista vardagen i månaden" (BYSETPOS).
  • Editor: a Last weekday mode and a Count from when it is done switch.

Design and accessibility#

  • Contrast: brought up to WCAG AA in the menus, chips and controls.
  • Task panel: below 1280 px it is a modal dialog with proper focus handling.
  • ⌘Z undo: toasts with Undo last longer and pause while you hover over or focus them.
  • Wording: deleting a task is called Move to Trash.
  • Subtasks: they open in the same panel.

Hardening from the code audit#

  • Project keys: no longer collide with deleted projects or the Inbox.
  • Writes during open: a write made while the local database opens is kept.
  • Tag aliases: they last across uploads.
  • Recurring tasks: they roll forward however they are completed.
  • Restore: it survives an assignee who has left the project.
  • Sign-out: it warns about unsent changes and removes the push subscription.
  • Bell: it hides projects you lost access to.
  • Morning digest: sent once a day.

Saved filters#

  • What a filter holds: a named selection of due window, assignee, priority, projects, tags and words.
  • Where it shows: in the sidebar with live counts, synced to its owner only.

Due times and time zones#

  • Times on due dates: "kl 14.30", "at 3pm".
  • Reminders: they follow each person's own time zone, taken from the browser.
  • Morning digest: at 08:00 local time.
  • Push in production: switched on, with VAPID keys on the server.

Trash and Logbook#

  • Trash: deleted tasks from the last 30 days, with Restore.
  • Logbook: completed tasks by day.

Start dates and Someday#

  • Starts: hides a task until its day, then shows it in Today.
  • Someday: parks it.
  • Quick add: "starts friday", "någon gång".

Research and round 1#

  • Research: the market and user research.
  • Overdue: a calm Overdue group with Move to today.
  • Export: CSV and JSON.
  • Refused changes: a toast when the server refused a change.
  • Share target: the installed app can receive shared links and text.

Settings and installable app#

  • Settings page: account, appearance, notifications, workspaces, archived projects and import.
  • Installable app (PWA): it opens with no network.

Earlier#

  • The first nine steps of docs/FIRST-TASKS.md: accounts, commands, PowerSync sync, board, calendar, sharing, palette, recurrence, import and polish.
  • The name thisflow.
  • The production setup on UpCloud behind the Cloudflare tunnel.
